Exciting opportunities at NORD ANGLIA INTERNATIONAL SCHOOL, HONG KONG: We are expanding our Secondary in opening a state-of-the-art Sixth Form Centre (August 2026) offering IBDP, A-Levels, and BTEC programmes.
Nord Anglia International School, Hong Kong is looking for a Senior Administrative Officer (6th Form Centre) with A Level & IB Examination Duties. Reporting to the Administrative Manager, the candidate will be responsible for providing a comprehensive administrative support to ensure smooth daily operations of the school, while also taking a key role in supporting all aspects of A Level and IB (DP/CP) examinations. This position requires strong organisational skills, attention to detail, excellent communication, and the ability to work in a fast‑paced academic environment with high levels of confidentiality and accuracy.

Responsibilities:
General Administrative Duties
§ Provide day-to-day administrative support to school leadership, teachers, students, and parents.
§ Manage reception duties, handle enquiries, and maintain professional communication channels.
§ Assist in coordinating school events, meetings, and parent-teacher conferences.
§ Maintain accurate records, filing systems, and databases.
§ Prepare documents, letters, reports, and presentations as required.
§ Assist with procurement of office supplies and maintain inventory.
§ Support onboarding processes for new staff and students.
§ Liaise with external vendors, service providers, and partners as needed.
Examination Administration (A Level & IB)
Registration and Documentation
§ Under the direction of the school Examinations Officer, coordinate student registration for A Level and IB examinations in compliance with awarding bodies’ regulations.
§ Maintain accurate student data and ensure timely submission of candidate entries.
§ Prepare and distribute examination timetables, candidate handbooks, and guidelines.
Examination Logistics
§ Organise and supervise the setup of examination venues, seating plans, and required materials.
§ Under the guidance of the Examinations Officer, recruit and schedule invigilators; provide training where needed.
§ Ensure secure storage, handling, and distribution of examination papers and materials.
§ Manage arrangements for access arrangements / special accommodations in line with IB and Cambridge/other boards’ requirements.
During Examinations
§ Oversee the smooth running of all examinations, ensuring compliance with A Level and IB protocols.
§ Act as the first point of contact for exam-day issues or irregularities.
§ Record incidents, prepare exam reports, and ensure accurate completion of attendance registers.
Post-Examination
§ Coordinate the secure packaging and dispatch of completed scripts to examination boards.
§ Support internal moderation and upload coursework/IA submissions to relevant portals.
§ Update internal records and support the release of results and certificates.
§ Communicate results and relevant information to students, parents, and teaching staff.
Student & Parent Support
§ Provide guidance to students on examination procedures, deadlines, and expectations.
§ Respond professionally to enquiries from students, parents, and exam boards.
§ Support pastoral and academic teams with data needed for advising students.
Compliance and Quality Assurance
§ Stay updated with the latest IB and A Level administrative requirements, policies, and deadlines.
§ Ensure all examination processes comply with school policies and awarding body regulations.
§ Maintain confidentiality and data protection standards at all times.

The successful candidate should have:
§ Degree/Higher Diploma or equivalent in secretarial/administrative qualifications
§ Prior experience in school administration or examination coordination (A Level/IB experience highly desirable).
§ Familiarity with IBO or Cambridge/Edexcel online systems is an advantage.
§ Minimum five years of administrative and secretarial work experiences; those with less years of experiences would also be considered
§ Working Hours & Additional Requirements (Flexibility to work extended hours during peak examination periods; Occasionally weekend and holiday work may be required depending on examination schedules.
§ Experience in Education Institutions is an advantage
§ Proficiency in both written and spoken English, Cantonese and/or Mandarin would be an advantage.
§ Strong proficiency with Microsoft Office (Excel, Word, Powerpoint, Outlook) for producing reports and presentations
§ Good cross-cultural, interpersonal & communication skills and an affinity for interacting with diverse nationalities and cultures
§ Ability to work independently
§ Excellent analytical skills – with the passion and drive to demonstrate and quantify success.
§ Results orientated with the ability to consistently map efforts against identified KPIs.
§ Excellent time management skills and flexibility in dealing with multi-functional tasks.
§ High level of personal integrity
