Assistant Purchasing Officer - International School (IMMEDIATE)

Job Description
Reporting to the Finance Manager, the candidate will be responsible for assisting in Purchasing and Accounts Payable to ensure an effective and efficient purchasing function is established for the Hong Kong School in order to have all the resources and services it needs to operate smoothly; and to ensure goods & services are sourced, prices negotiated, orders placed and delivered as planned.
Receive orders from staff & ensure appropriate approvals obtained
Source merchandises from reliable vendors
Regular review procedures and ensure all necessary verification and approvals are done according to our approval limit matrix
Co-ordinate with other departments and maintain open communication channel
Handle Accounts Payable related tasks, including data entry, checking invoices to match with payment requisition and accounts reconciliation.
Obtain quotes from suppliers and negotiate price/terms
Price Comparison
Ensure budget available before placing orders
Place order with suppliers
Deal with suppliers to ensure delivery of orders in both right quantities, good qualities/conditions and delivery in time
Manage order status on accounting software
Accurate input journal in the system
Check delivery against order
Check invoices to delivery notes/original orders
Ensure all details on invoice information on AP statements are correct before preparing for payment
Handle the PO modules in the system
Perform ad hoc assignments as required
Job Requirement
Degree or higher diploma in Accounting, Finance or related business disciplines
Minimum 1 year of work experiences in Procurement, Accounting/Finance, accounts payable or related disciplines
Hold a current Enhanced Criminal Records Bureau Disclosure for all countries lived in
Compliance with visa requirements for working in Hong Kong.
A commitment to safeguarding and promoting the welfare of all pupils, and a willingness to undertake appropriate child protection training when required.
Excellent communication, interpersonal, organisational, time management and negotiation skills
Knowledge and proficient in Accounting software
Proficient in both written and spoken English, Cantonese and Mandarin
Work in an Education Institution is an advantage
Strong proficiency with Microsoft Word and PowerPoint for producing reports and presentations.
Good cross-cultural, interpersonal and communication skills to interact with diverse nationalities and cultures.
Excellent analytical skills – with the passion and drive to demonstrate and quantify success.
Results orientated with the ability to consistently map efforts against identified KPIs.
Excellent time management skills and flexibility in dealing with multi-functional tasks.
